MyVaccs Privacy policy

www.Myvaccs.com (the "Website") is operated by Empericus Limited ("We"). We respect your privacy and are committed to protecting it. This policy (together with our terms of use https://www.myvaccs.com/footer-links/terms-of-use.aspx and any other documents referred to on it) sets out the basis on which any personal information we collect from you, or which you provide to us, will be processed by us.

Any personal information collected through the Website will be processed in accordance with the principles of the Data Protection Act 1998 as amended. We are notified as a data controller with the UK Information Commissioner (registration number: PZ1766781).

By accepting the terms of this Privacy Policy and using the Website, you consent to the collection and use of your personal information and sensitive personal information in the manner and for the purposes set out in this Privacy Policy. Where you are the primary account holder and you provide information in relation to a family member, you confirm that the family member has appointed you to act on his or her behalf and has agreed that you can: give consent on his or her behalf to the processing of his or her data (including vaccine history information); and receive our data protection notice on his or her behalf.

  1. Your Information

    We will collect and process your information:

    1. when you send us an enquiry or e-mail

      By sending us an enquiry or email message, you may be sending us personal information such as your name, address, email address and other associated information.

    2. when you create a MyVaccs Profile

      By choosing to register with the Website and create your MyVaccs Profile, you will provide us with personal information. This will fall into two broad categories:

      1. basic personal information. This includes your name, country of residence, email address, postal code and date of birth; and

      2. sensitive personal information. This includes the details of your vaccination history, and in some cases that of your family.

    3. when you visit the Website (IP Addresses and Cookies)

      We may collect information generated by your visit to the Website. This may include your IP Address (an IP address is a number that is automatically assigned to your computer whenever you are using the Internet); the type of browser and operating system used to access the Website; the date and time you access the Website; the pages you visit; and if you visited the Website from another website, the address of that website. This is statistical data, and does not identify any individual.

      We use session cookies to help provide the above information and to manage user authentication. Session cookies will be erased when you close your web browser. They are not stored on your hard drive between browsing sessions.

      Most web browsers automatically accept cookies, but you can activate your browser to prevent this. Information on how to do this may be available in the "help" function of your browser. However, please note that certain functions of the Website require session cookies to function correctly and if you deactivate cookies you may not be able to use all the functions on the Website.   2. Where your Information is Stored

    All information you provide to us is stored on our secure servers in the UK. You are responsible for keeping your password confidential, as set out in our terms of use https://www.myvaccs.com/footer-links/terms-of-use.aspx.

    The transmission of data via the internet is unfortunately not completely secure. We will do our best to protect your personal information, however we cannot guarantee the security of data transmitted to our site – any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

  3. How your Information is Used

    Sensitive Personal Information

    Your sensitive personal information (namely, your vaccination history) is used only for the purposes of creating and maintaining your MyVaccs Profile. Only you, the primary account holder, and any family members you give access to, will be able to use your MyVaccs Profile to see your personal health information, and that of any family members added to the same MyVaccs Profile. In limited circumstances we (or our subcontractors) may have to access your MyVaccs Profile for the purpose of maintaining or repairing the Website.

    We may use your information on an anonymised basis for statistical purposes. None of his information can be used to identify an individual.

    Personal Information

    We will use personal information held about you as follows:

    1. to respond to your requests or enquiries;

    3. to create and maintain your MyVaccs Profile;

    4. for statistical purposes, and to assist in analysing Website traffic and usage;

    5. to provide you with a more personal service, and ensure that content from the Website is provided in the most effective manner for you and your computer;

    6. to provide you with information, products or services that you request from us or which we feel may interest you where you have consented to be contacted for such purposes;

    7. to notify you about changes to our service.

  4. Disclosure of Information

    We may disclose or allow access to your personal and sensitive personal information:

    1. to our sub-contractors which provide administrative, technical or hosting services for the Website, for the purposes of providing those services; and

    2. to relevant authorities if we are required to do so by law, or by competent authorities.

  5. Data Retention

    Personal information collected by us through the Website will be held for as long as is necessary for the purposes for which you have given the data. You may delete your Myvaccs Profile at any time (see section 7 (b) below).

  6. Communications from the Website

    It may be necessary for us to send a service announcement e-mail to users of the Website if for example the service is temporarily suspended for maintenance. These communications will be sent to all affected users of the Website, but will not be promotional in nature.

  7. Access to/Removal of Your Personal Information

    1. Access to your personal information

      You may access, edit or delete your MyVaccs Profile at any time - there is no charge for this.

      As with any other data controller organisation, you have the right to access any other information we may hold about you and to require us to correct any inaccuracies in your information. Please contact us at accounts@myvaccs.com. Any such access request may be subject to a fee of £10 to meet our costs in providing you with details of any information we hold about you.

    2. Unsubscribe

      You have the right to ask for your MyVaccs Profile to be deleted at any time. You can do this by contacting us at accounts@myvaccs.com. Please note that once we process your request your MyVaccs Profile will be deleted immediately, although back-up copies of deleted information may exist for a short period of time. Therefore, we recommend that you print any information you wish to retain from your MyVaccs Profile before requesting that we delete it.

      Family members which have been added to your MyVaccs profile may ask for their information to be disclosed to them, removed or amended at any time. We reserve the right to disclose, amend or delete the personal data of any person at the request of the person to whom that data relates. Please contact us at accounts@myvaccs.com.

      You have the right to ask for your personal information to be removed from our mailing lists or can choose not to receive any promotional information from us. This can be done by following the unsubscribe option on any email sent from us to your personal email address, or by contacting us at accounts@myvaccs.com.

  8. Changes

    Any changes we make to our privacy policy in the future will be posted on this page. You should check this page regularly in order to be aware of these changes, as they may affect you. We are nevertheless committed to continue to respect the privacy and preferences of all users of this Website.

  9. Hyperlinks

    If you access links to third party websites, you will leave the Website. We do not control those websites or their privacy practices, which may differ from ours. This Privacy Policy does not cover the personal information that you choose to give to third parties. We encourage you to review the privacy policy of any company or other entity operating a website before submitting your personal information. Some third party companies may choose to share their personal information with us; that sharing is governed by the third party company’s privacy policy.
